Structured CRM Integrations 

This is an overview of what we offer with our structured database integrations. In these support articles, we will cover the following.

Supported Databases 

Below is a list of supported databases that we can integrate with. Non-listed databases may require custom development. Reach out to integrations@kantiv.com to discuss feasibility and timeline.

Note: Each database integration has its own API setup guide. Refer to the integration-specific documentation provided during your onboarding process.


What is an Integration?

Your structured CRM database connects one way directly to Kantiv, unifying your company's data, including people, projects, opportunities, and companies, into a single, searchable asset library.

The core purpose is to ensure Kantiv always uses your freshest, most accurate data rather than relying on older documents such as legacy proposal narratives. For example:

  • Instead of just pulling from old proposals, Kantiv indexes CRM information such as project descriptions, opportunity results, and references associated with projects alongside the proposal data.

  • Current employee profiles are pulled directly from your CRM's HR records, so bios and experience are always up to date.


What Does an Integration Do?

How the Data Is Used

  • Sync Schedule: Data refreshes on a weekly to bi-weekly cadence.

  • Priority: Integration data is always prioritized over other sources when Kantiv retrieves information.

  • Unified Source: CRM data is consolidated into a single source, eliminating data conflicts across multiple systems.

  • Enhanced AI Search & Chat: Because Kantiv uses your CRM data, it has richer context, leading to better search results and more accurate chat responses.

Where the Data Lives in Kantiv

All integration data is stored under the "Details" tab on each record within Kantiv. This information enhances AI-generated content; it does not replace your existing project files but works alongside them.

When working with integrated data, be aware of three types of records you may encounter:

  • Projects with integration data only (0 uploaded files)

  • Projects with both integration data and uploaded files

  • Projects with uploaded files only (no integration data)


What Does an Integration NOT Do?

The structured CRM integration is purpose-built for content generation and AI-assisted search. It does not extend or change Kantiv functionality, nor does it turn the platform into a general-purpose database or reporting tool. Specifically, it does not:

  • Enable direct database queries (e.g., "How many projects were completed in Texas this year?")

  • Provide advanced analytics by region, company type, or other aggregated factors

  • Write back to your CRM, it cannot close projects, update records, or modify opportunities

  • Replace your existing proposal files or document uploads; it complements them

  • Turn Kantiv into an ERP system

Note: Integration Data does not make Kantiv a reporting mechanism; it serves as a data enhancement layer for the Kantiv Platform. You cannot query data in Kantiv with an Integration.


General Integration Timeline

Integration timelines vary based on complexity and client response time. Because of this, a normal timeline can vary from four to six months on average. Times are, of course, estimates and may vary due to factors such as the responsiveness of the client and Kantiv's team's workload.


Frequently Asked Questions 

Can Kantiv write data back to my CRM?

No. The integration is strictly read-only. Kantiv pulls data from your CRM but cannot create, update, or delete records in your source system.

What happens if a field is missing or not appearing in chat?

First, check how the question is being prompted. If the field is explicitly requested and still does not appear, it may not be mapped. Reach out to the integrations team via integrations@kantiv.com.

Can fields be renamed?

Yes. Fields can be renamed by the integrations team. Note that field formatting (layout, structure) cannot be changed, but currency display and date appearance can be adjusted, and fields can be hidden or renamed.

Is the integration different from a file integration (e.g., SharePoint, Bynder)?

Yes. File integrations sync files and folder structures from storage systems into Kantiv's file library. Structured CRM integrations sync structured database records (people, projects, opportunities, companies) from your CRM into Kantiv's data layer. Both types enhance Kantiv, but they serve different purposes and are managed separately.
